Global Relay Archive for Meetings

Overview

The Global Relay Archive for Meetings app supports archiving meeting chat messages, shared files, and recordings for Global Relay customers. This integration ensures that compliance and regulatory requirements are met. This app allows administrators to setup and configure their Global Relay endpoints so that Zoom can send meeting data and metadata for archiving once a meeting has completed. This application works for all users within an organization.

Prerequisites

  • A Zoom account
  • Global Relay account
  • Cloud recording
  • Pre-approval of the Global Relay Archive for Meetings app in the Zoom Marketplace
    Note: If the app is not pre-approved, please contact your Zoom admin.
  • Zoom desktop client version:
    • Windows: 5.4.0 or higher
    • macOS: 5.4.0 or higher
    • Linux: 5.4.0 or higher
  • Zoom mobile app version:
    • Android: 5.4.0 or higher
    • iOS: 5.4.0 or higher

Installation and Configuration

  1. Login to your Zoom account and navigate to the Zoom Marketplace.
  2. Search for Global Relay Archive for Meetings and click the app.
    Note: If the app is not pre-approved, please contact your Zoom admin to approve this app for your account.
  3. Click Install, confirm the permissions the app requires and choose Authorize.
  4. Navigate to the configuration page within the application
  5. Enter the details as shown below:
    • SMTP Server: IP Address of the receiving server
    • SMTP Address: Archiving destination (based on Global Relay version, such as Archive 9 vs Archive 10. Please check with Global Relay for this)
    • Username and Password: for accessing your Global Relay instance, so that we can call the Global Relay API and send data after meeting is over
    • User Groups Enabled for Archiving: select the groups that you want to enable this for. These groups are populated from what you have in Zoom web side.
  6. Click Save
  7. Log in to Zoom portal and navigate to Account Settings > Meeting > In Meeting (Advanced). Enable Archive meetings/webinars and choose the required content to archive for your organization.

Note: The details shown on Step 5 should be obtained by the IT Administrator of your Global Relay instance. If you are still unable to find these, please contact Global Relay for more information.

Global Relay Archiving

  • After admin installs this app, all user meetings specified will be archived. This means they will be recorded by default.
  • After a user ends their meeting, Zoom will collect the data and send it to your Global Relay instance.
  • The meeting recording will NOT be automatically deleted from Zoom. This will depend on your account and user settings for Recording Management.

Information Sent from Zoom to Global Relay

Zoom will send the following information to your Global Relay instance: Note: The sync between Zoom and Global relay may not happen immediately and can take up to 12 hours.

Meeting Summary:

  • Meeting Title: The meeting topic.
  • Host: The user that started/scheduled the meeting.
  • ID: The unique meeting ID identifier.
  • Number: The 9 or 10 digit meeting number.
  • Date: Date of meeting, formatted: YYYY-MM-DDTHH:MM:SSZ
  • Timezone: If no time zone is specified, UTC/GMT will be used.
  • Minutes: Length of the meeting in minutes.
  • Meeting Recording: A link to the meeting recording.
    *Note: This link will only be active according to your account’s recording storage settings.
  • Password: Password used for the meeting.
  • Meeting Recording files: Any recording files will be attached to the email.
    Note: When configuring Global Relay, you will need to enable receiving the meeting recording files. Additionally, if a file is more than 500MB, Zoom will split the file into multiple files.

Uninstalling the Global Relay Archive App

  1. Login to your Zoom account and navigate to the Zoom Marketplace.
  2. Search for Global Relay Archive for Meetings and click the app or navigate to your installed apps via Manage > Installed Apps.
  3. Click Uninstall next to Global Relay Archive for Meetings.
  4. Confirm the dialogue and click Uninstall.
